Identify the vehicle and its use
Include the registration, make, model, seating configuration and dimensions or weight where known. Explain how the vehicle is used and any practical access requirements. This gives the workshop the information needed to confirm whether it can accommodate the inspection.
Bring the inspection requirements
Tell the team which inspection schedule or report format you need and when the inspection is due. Have the previous report and relevant maintenance records available. Agree the checks and record you require before arranging the visit.
Plan findings and follow-up work
Discuss how findings will be reported and who can authorise any proposed repairs. If you also require an MOT or other testing, mention that separately so its eligibility and timing can be confirmed. Any repair work needs its own agreed scope and price.
